Work in a fast-paced, busy, and somewhat stressful environment, maintain physical stamina and proper mental attitude and ability to deal effectively with guests, management, employees and outside contacts while working under pressure and meeting deadlines, able to frequently move freely about the office, site for long periods and withstand various activities such as frequent walking, standing, bending, maintain manual dexterity to access computer via computer keyboard and operate office equipment, such as telephones, copiers, fax machine, etc. and able to access all areas of the facility.

  • Acts as liaison between room reservations, accounting, room service, and other departments as required by respective managers.

  • Merges the group resume from Delphi. Prior to group arrival the Administrative Assistant is constantly updating the resume with info obtained from the client and manager. 7 to 10 days before group arrival, the Administrative Assistant sends the resume to a distribution list where it can be viewed by other departments of the hotel.

  • Assists with daily Meeting Event Orders (MEO).

  • Distribution and Filing of MEOs (number of MEOs from 75 to 1300).

  • Ability to effectively and efficiently meet VIP's needs and expectations.

  • Makes all arrangements for amenities for group VIPs through Hospitality including the printing of individual amenity note cards and envelopes and enter into Vipr.

  • Purchases amenities from our outlet stores for special client gifts.

  • Makes all arrangements for limos for group VIPs and enter into Vipr.

  • Submits phone requests to PBX Convention Orders, internet requests to IT and key requests to Convention Concierge for each group.

  • Assists managers with all client requests.

  • Receive all incoming inquiries and information.

  • Answer the main department line as well as respective manager's line.

  • Is on a rotating schedule to take minutes for the department staff meetings.

  • Maintains accurate group files and after group departure, condenses files in preparation for storage.

  • Prepares personalized Group Key Lists for client's pre-cons.

  • Handles all incoming and outgoing correspondence to include MEOs and internal hotel documents.

  • Performs other tasks and projects as assigned by department managers.

  • Checks department voice mail daily and responds to the guest or client or forwards to the appropriate employee and/or department.

  • Able to read client specs and create MEOs based on client and event specifications.

  • Perform all other job related duties as requested.


  • At least 2 years of prior administrative secretarial experience in a similar environment.

  • Ability to maintain confidentiality of guest information and pertinent resort data.

  • Ability to compute basic mathematical calculations.

  • Ability to follow instructions thoroughly.

  • Ability to meet short deadlines.

  • Ability to read small print.

  • Excellent customer service skills.

  • Have interpersonal skill to deal effectively with all business contacts.

  • Professional appearance and demeanor.

  • Work varied shifts, including weekends and holidays.

  • High school diploma or equivalent.

  • Able to effectively communicate in English, in both written and oral forms.


  • Previous experience working in a similar resort setting.
